The walkthrough is one of the most important steps in the planning process—and one we take seriously. It’s where your vision comes to life, and our team ensures every logistical element is perfectly in place before your big day.

What Is a Walkthrough?

Think of the walkthrough as a collaborative planning meeting at your venue. It typically takes place 30 to 45 days before the wedding and includes your Lib’s Catering event manager, your venue contact, and sometimes your wedding planner or coordinator. This meeting allows us to review every detail—so you can relax on your wedding day knowing nothing has been overlooked.

When It Happens

Walkthroughs are scheduled Monday–Thursday, based on availability of both the venue and our event team. We typically book them after your tasting and once you’ve officially secured your date with us. Timing can vary depending on your wedding date and venue availability, but we recommend completing the walkthrough no later than 30 days before your event.

What We'll Cover

Your walkthrough is comprehensive, and we come prepared. Here's what you can expect to review:

  • Floorplan & Flow: We’ll walk the space to finalize your layout for dinner tables, cocktail hour, buffet stations, and more.

  • Timeline: Together, we’ll confirm arrival times, setup windows, food service timing, and vendor schedules.

  • Linen Selections: Your linen choices will be finalized during the walkthrough. Browse the full range of available colors ahead of time using our linen swatch book here. We’ll help you select options for guest tables, napkins, and any specialty tables.

  • Rental Needs: We’ll check in on any additional rentals needed, such as extra tables, chairs, or décor items.

  • Vendor Coordination: If you’ve booked outside vendors (like a DJ, planner, or baker), we’ll make sure their needs are integrated into the service flow.

  • Weather Contingency Plans: For outdoor venues, we’ll walk through Plan B options in case of inclement weather.

What You Should Bring

To get the most out of your walkthrough, it helps to bring:

  • A draft or final version of your floorplan

  • Any updates or changes since your tasting

  • Contact info for other vendors involved

  • Notes or questions you’ve compiled

Walkthroughs aren’t just a formality—they’re a major reason our events run smoothly. By getting everyone on the same page ahead of time, we minimize day-of surprises and maximize your peace of mind. Our team is all about hospitality, and part of that means being one step ahead at every turn.


Linen Selections Your linen choices will be finalized during the walkthrough. Browse the full range of available colors ahead of time using our linen swatch book here. We’ll help you select options for guest tables, napkins, and any specialty tables. After the walkthrough is completed and linen selections are finalized, your proposal will be updated to reflect the linens needed and a final payment link will be sent. If you’ve chosen plated service, meal selections and your seating chart are required no later than 14 days before your event.
